Policies for Staying at Our Willamette Valley Inn
Rates and Room Occupancy: Each of our rooms features one king-sized bed, and all rates are set for double occupancy. Our Valley View suites may accommodate one additional person for an additional $135/night. Please request at least 48 hours in advance.
Reservation Deposit: A deposit for the first night’s stay is required for all reservations. Reservations for five or more rooms are considered a group reservation and require completion of a group agreement as well as a refundable group deposit. Room Cancellation and Date Change Policy: We are a small Inn and cancellations significantly impact our business; therefore we follow a strict cancellation and change policy:
- Cancellations and changes made at least 31 days in advance of arrival will be charged a $75 fee per room.
- Cancellations made within 30 days will be charged the full value of the reservation. A date change within 30 days of the reservation is considered a cancellation. We are not able to make exceptions, but you are welcome to send someone else in your place.
- Shortening a stay within 30 days is considered a cancellation for those nights.
- Reservations for guests with five or more rooms have a different cancellation policy. Please contact us for details.
- COVID-19 related reservation adjustments: Reservations impacted by a COVID-19 exposure or travel ban may be rescheduled for a future stay. We will apply the value of the room deposit, less a $75 change fee, to a gift certificate valid for a future stay.
We highly recommend purchasing trip insurance to guard against unexpected changes in your travel plans.
Reserved Experiences: Non-room reservations including vineyard tours, dinners, wine tastings and massage are charged at the time of scheduling. Cancellations for all experiences require 7 days advance notice for a full refund. Cancellations within 7 days will not be refunded but you are welcome to transfer your reservation to another guest.
Payment: We accept Visa, Mastercard, American Express and cash. Please note our strict deposit and cancellation policies.
Check-In: Rooms are guaranteed by 3:00 pm on the day of arrival. Guests may check in between 3:00pm and 5:00pm daily. If you believe you will arrive after 5:00 pm we ask that you please call the Inn 24 hours in advance and we will arrange for your late check-in packet to be on the front desk upon your arrival. We do not have 24-hour reception at the front desk.
Check out: Rooms must be vacated by 11:00 am on the day of check-out as we need to prepare the rooms for arriving guests.
Minimum Stay Requirements, Non-holiday: July 1 to October 31, two night minimum on weekends and two night minimum for certain rooms throughout the entire week.
Minimum Stay Requirements, Holidays: New Year’s, Martin Luther King, President’s Weekend, Memorial Day weekend, Fourth of July, IPNC, Labor Day weekend, Thanksgiving, and Christmas. Call for rates and minimums.
Trip Insurance: We strongly recommend trip insurance for all of our guests due to our strict cancellation policy.
Smoking: In observance of local ordinances, we have a no smoking policy throughout our entire premises. Any violation of this policy will result in a minimum $300 fee. Smokers who render a room unacceptable for incoming guests must compensate the Inn for lost revenue.
Over 21 Property: All guests must be at least 21 years old to stay with us. We are not able to accept reservations with infants, children or young adults under the age of 21.
Photography: Professional photography on our property may be approved under some circumstances, for guests of the Inn. An on-site photography fee will apply and all plans must be approved in advance of guest arrival. Please contact our reservations desk for assistance.
Pets at the Inn: We regret we cannot accommodate pets on our property. Animals whose function is to provide comfort or emotional support do not qualify as service animals according to the ADA and are not permitted at the Black Walnut. Please contact Tail Wag Inn, located in Dundee at either 503-554-9000 or 888-554-9025 where your pet will be well cared for.
Service Animals: Service animals are allowed to accompany people with disabilities at our Inn. Upon arrival you may be asked: Is the animal required because of a disability; and/or what work or task has the animal been trained to perform. Service animals must be under control and housebroken. Please inform us at least 7 days in advance if you plan to travel with a service animal.
